Who we are

This privacy policy applies to Swan Gardens Evolution (ABN 74 689 518 376), a Perth-based garden maintenance business. When this page says "we", "us", or "our", it refers to Swan Gardens Evolution. What we collect

We only collect information that helps us do the job you've asked us to do. That's usually:

  • Contact details — your name, business or strata name (if relevant), email, and phone number.
  • Property details — the address of the property we're quoting on or maintaining, and any access notes you share.
  • Anything you send us — the message you write in our quote or contact forms, or in emails and texts.
  • Technical website information — basic visit data your browser sends automatically (IP address, browser type) handled by our hosting provider for security and performance. We don't run any analytics or advertising trackers.

How we use it

We use the information you give us to:

  • Respond to your quote or general enquiry.
  • Schedule, deliver, and invoice the work we've agreed to do.
  • Stay in touch about your property's ongoing maintenance — appointment reminders, scheduling changes, the occasional question about access or scope.
  • Meet our legal and tax record-keeping obligations.

We don't sell your information. We don't use it for marketing to other people. If we ever want to send you something that isn't directly about the work we're doing for you (a newsletter, for example), we'll ask first.

Who we share it with

A small number of trusted service providers help us run the business. They only see the information they need to do their job, and they're not allowed to use it for anything else:

  • Postmark — sends and receives quote-form emails on our behalf.
  • Cloudflare — hosts this website and provides spam protection (Turnstile) on our forms.
  • Our accountant and the ATO — for tax records, where required by law.

Some of these services are based overseas, which means your information may be processed outside Australia. We choose providers that meet recognised data protection standards.

Cookies

We don't use cookies for tracking or advertising. Cloudflare's spam protection may set a short-lived technical cookie when you submit a form — that's used only to confirm you're a real person, not to follow you around the web.

How long we keep it

Quote enquiries that don't go ahead are deleted within twelve months. Active client records are kept while you're a client and for as long as we're legally required to hold financial records (currently five years for tax). After that, they're deleted or anonymised.

Your rights

You can ask us at any time to:

  • See the information we hold about you.
  • Correct anything that's wrong or out of date.
  • Delete your information, unless we're legally required to keep it (tax records, for example).
  • Stop contacting you for anything beyond active work in progress.

Security

We take reasonable steps to keep your information safe — secure servers, encrypted connections (HTTPS), and limited access to client records. No system is perfectly secure, but if something ever goes wrong with information you've given us, we'll tell you as soon as we reasonably can.

Children

This site and our services aren't directed at people under 16. We don't knowingly collect information from children. If you believe a child has sent us information, let us know and we'll remove it.

Complaints

If you're unhappy with how we've handled your information, please tell us first — email or call using the details at the top of this page — and we'll do our best to sort it out. If you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We'll update this page when material changes happen and update the "Last updated" date at the top. For major changes, we'll let active clients know directly.
